The first thing to clarify: this is not the same as a company secretary. A company secretary is a qualified role under the Companies Act 2016 with legal duties to SSM. An executive secretary is an unlicensed management support post.
People frequently confuse the two, and the difference is large in both qualification and pay.
What makes this role valuable: access. You work closely with decision-makers, know what is happening before others do, and handle confidential information. Trust is this job's primary asset.

A day in the life

Executive secretaries/PAs run a boss's working life: calendar, travel, meetings, key emails and confidential matters.
A typical day: juggling an ever-changing schedule, booking flights, preparing meeting materials, screening calls & requests.
You are the "gate" to the boss — everyone goes through you.

Is this right for you?

A good fit if you: are highly organised, keep secrets, stay calm when plans change last-minute, and handle powerful people well.
Less suitable if you: need strict work-life boundaries, or dislike managing egos.

Salary & career ladder

Salary range
Department secretary: RM2,500–3,800.
Executive secretary: RM4,000–7,000.
Senior executive assistant (supporting the C-suite): RM7,000–14,000.
Executive assistant at a multinational or regional headquarters: RM12,000–20,000.
The gap between the junior and the top level is large, and that is the most important thing to understand about this career.

What determines where you sit in that range
Who you support. Supporting a department manager and supporting a Chief Executive are two different jobs with pay differing by two or three times.
The trust you hold. An executive assistant who manages confidential information, represents the executive in outside communication, and makes decisions on their behalf is worth far more than someone who schedules meetings.
Languages. In regional companies, an additional language can move your salary range significantly.

Automation pressure — and why it is uneven
The junior level is shrinking. Scheduling, travel booking, transcription and email drafting are now done by software. Department secretary posts face the same pressure as general administration.
The senior level is not. Senior executive assistant roles are built on trust, judgement and relationships — not on tasks.
Software can schedule a meeting. It cannot decide that the meeting should not happen, or tell an executive they are wrong.

The practical conclusion
If you enter this field, do not aim for the middle. Build toward supporting senior management.
That means: develop judgement rather than only efficiency, build a reputation for absolute confidentiality, and learn the business you support deeply enough to anticipate needs.
The best executive assistants function as a filter and an adviser, not as a schedule processor.

City vs hometown

Senior PA roles concentrate in KL & big cities (headquarters).
Regular secretarial roles exist at law firms, clinics and companies in every town.

Study path after SPM / UEC

This is the most frequently misunderstood thing about this career.
A company secretary — a qualified role under the Companies Act 2016, with legal duties to SSM: statutory filings, board meetings, corporate compliance. Requires a recognised qualification.
An executive secretary — a management support post. No licence, no mandatory qualification.
Pay, career path, and legal responsibility differ entirely. If corporate compliance interests you, read that page rather than this one.

The route
SPM → secretarial studies / administration diploma (or degree) → administrative assistant or department secretary → executive secretary → executive assistant to the C-suite.

What is genuinely valuable in this role
Access and trust. You work closely with the people making decisions, and you know things before they are announced.
That means your value is not typing or scheduling. It is being someone an executive can trust completely — with information, with judgement, and with access to them.
A good executive secretary protects their boss's time and attention. That is a skill, not a task.

What automation changes
Scheduling, travel booking, meeting transcription and email drafting can now be done by software.
What remains: judgement about priorities, handling people, and confidentiality. Software can schedule a meeting; it cannot decide which meeting should not happen, or handle an angry client on the executive's behalf.
Junior support roles are shrinking. Senior executive assistant roles are not — because they are built on trust, not tasks.

Honest career advice
If you enter this field, aim for the top level — executive assistant to senior management or the C-suite. That is where the pay, the security and the influence are.
Junior department secretary posts face the same pressure as general administration.

Related fields
Company secretary — an entirely different qualified role. Administrator — the adjacent route. HR — a common move. Event manager if coordination and logistics are the part you enjoy.
If you are taking the UEC instead of SPM
Everything above still applies to you — the subjects are the same disciplines, only a different exam paper. What changes is the route after it.
The UEC is not accepted for direct entry into a Malaysian public university degree. That is why independent school students overwhelmingly go to private universities in Malaysia, or abroad.
The UEC is treated as equivalent to STPM and A-Level, and it is recognised in the UK, the United States, Canada, Australia and Taiwan — which is why the overseas rate from independent schools is so high.
And the part that costs families real money — read this one properly:
PTPTN eligibility runs through SPM, and a UEC alone does not carry it. To keep the loan available you need a complete SPM, which means two things people get wrong:
Sejarah must be passed. Since SPM 2013 a pass in Sejarah (minimum E) is compulsory for the certificate itself — fail it and you do not have a complete SPM at all.
Bahasa Melayu is usually required at credit (grade C), not merely a pass.
The institution and programme must also be PTPTN-recognised — check that on the PTPTN gateway before you commit to a college.
The UEC route pushes you towards a private degree, and PTPTN is what pays for it. If you have not sat SPM, sit it — and do not treat Sejarah as the throwaway paper.
These conditions change. Verify the current rules with PTPTN before relying on any of this.

Universities

UiTM (Secretarial Science/Office Management) and polytechnics are the classic route.
Valuable extras: minute-taking, digital office tools, basic finance.

Tuition fees

UiTM/polytechnic: very low fees.
Private diploma: RM15,000–RM30,000.

Scholarships

PTPTN available; the public route is cheap enough that big loans are rarely needed.

No licence or mandatory qualification
Executive secretary is not a regulated role. You can enter with a diploma or even SPM plus experience.

The most important legal distinction
A company secretary is something entirely different.
Under the Companies Act 2016, every company must appoint a qualified company secretary with statutory duties to SSM — annual filings, board resolutions, keeping statutory records.
That post requires a recognised qualification and carries legal liability. An executive secretary post does not.
If someone offers you "secretarial work", ask which one — it determines your entire career.

Qualifications that help
A diploma in Secretarial Studies or Office Management — the most direct route.
A Business Administration degree — helps for supporting top-level executives.
Professional executive assistant certificates — recognised in multinationals.

The skills that set pay
High-level written English — you write on someone else's behalf, and that writing represents them.
Additional languages — Mandarin or others are a real advantage in regional companies.
Systems — calendar, travel, expenses, and collaboration tools.
Judgement — knowing what is urgent, who gets the executive's time, and when to say no on their behalf.

Legal obligations that apply
PDPA 2010 — you handle personal data of staff and outside parties.
Confidentiality is not merely ethics in this role; it is often a contractual condition, and breaching it can carry employment and legal consequences.

    A degree is not required, but it helps for supporting top-level executives at large companies.

    Most people start as an administrative assistant or a department secretary, then rise to support more senior management.
    What determines promotion is reliability, not years. Executives choose the person who has never dropped anything and never leaked anything.
  4. Confidentiality and judgementKritikal
    You will see salary information, restructuring plans, negotiations, and decisions before they are announced.
    The Personal Data Protection Act 2010 applies to the personal data you handle.
    One leak ends a career in this role. Conversely, a reputation for confidentiality is what takes you to the best-paid posts.

Company secretary

Junior department secretary posts face real pressure.
What has not been taken over:
Judgement about priorities — software can schedule a meeting; it cannot decide that the meeting should not happen, or that the executive needs to say no to someone.
Handling people — an angry client, an upset staff member, a partner who needs calming.
Confidentiality and trust — executives share information with their assistant that they share with no one else. That is a human relationship, not a function.
What to do about it:
Aim high. Build judgement rather than only efficiency. Learn the business you support deeply enough to anticipate what is needed before it is asked for.
Executive assistants who schedule meetings are being replaced. Executive assistants who protect their boss's time and judgement are not.
